Position Overview:
As the Manager of Administration, you will be responsible for overseeing and managing the administrative functions of the organization in the Kerala region. Your role will be crucial in ensuring the smooth and efficient operation of the administrative department, providing support to various teams and promoting a productive work environment. This position requires strong leadership, organizational, and interpersonal skills to manage a diverse range of administrative tasks and personnel effectively.
Key Responsibilities:
1. Budgeting and Cost Control:
• Prepare and monitor the departmental budget, ensuring adherence to financial guidelines.
• Analyze expenses and identify cost-saving opportunities without compromising service quality.
• Manage the local assets, houses and landed properties to prevent encroachments and losses
• maximise asset utilisation
2. Administrative Management:
• Maintain high quality of Office records and efficient retrieval
• Plan, organize, and coordinate administrative activities to ensure efficient daily operations.
• Oversee facilities management, including office maintenance, security, and vendor management.
• Manage office supplies and equipment procurement, ensuring cost-effectiveness and timely replenishment.
3. Compliance and Legal Matters:
• Handle all Local authorities, landlords and representatives
• Ensure compliance with relevant labor laws, regulations, and company policies.
• Coordinate with legal and regulatory authorities as required for various administrative matters.
• Conduct regular safety audits and address any potential hazards promptly.
4. Team Leadership:
• Lead and mentor the team, promoting a positive and collaborative work environment.
• Set performance expectations, conduct regular evaluations, and provide feedback for team members' professional growth.
5. Travel and Logistics Management:
• Handle travel arrangements for employees, including booking flights, accommodations, and transportation.
• Coordinate logistics for corporate events, meetings, and conferences.
• Organise the local travel and stay for Outside state / overseas delegations
6. Communication and Coordination:
• Liaise with different departments to facilitate smooth cross-functional operations.
• Serve as a point of contact for addressing administrative concerns and inquiries.
7. Continuous Improvement:
• Identify areas for process improvement and efficiency enhancement in administrative operations.
• Implement best practices and innovative solutions to optimize workflows.
Qualifications and Experience:
• Bachelor's degree in Business Administration, Management, or a related field.
• Proven experience in administrative management or relevant leadership positions in Kerala
• Familiarity with applicable labor laws and regulations in India and Kerala.
• Strong communication, problem-solving, and decision-making skills.
• Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
• Proficiency in using standard office software and tools.
