Job Description
A Documentation Executive is responsible for handling the processing of visa applications, ensuring that all documentation requirements are met, and assisting clients throughout the visa process.
Job Responsibilities:
• Document Preparation and Verification
Assist clients in preparing visa applications and collecting required documentation.
Review and verify the accuracy, completeness, and authenticity of all submitted documents.
Ensure compliance with the visa requirements of various countries.
• Application Processing
Submit applications to consulates, embassies, or visa processing centers.
Monitor the status of visa applications and provide updates to clients.
Handle queries related to application procedures and required documents.
• Customer Assistance
Respond to client inquiries and provide guidance on visa procedures, timelines, and requirements.
Explain complex visa processes clearly and professionally.
Offer support and reassurance to clients, addressing any concerns they may have.
• Coordination with Consulates and Embassies
Liaise with embassies, consulates, and other official bodies to stay updated on visa requirements and changes.
Resolve any issues or delays related to visa processing.
• Record Keeping and Compliance
Maintain accurate records of client documents, applications, and visa statuses.
Ensure all data is handled in accordance with company policies and legal regulations on data protection.
• Documentation and Reporting
Prepare daily or weekly reports on visa applications processed, pending, or delayed.
Keep detailed logs of client interactions and follow-up activities.
Requirements:
Bachelor’s degree in a related field (e.g., business administration, international relations, tourism, or law).
Professional level English language skills is mandatory.
Preferred fresher.
Experience in visa documentation, immigration services, or travel consultancy (typically 1-3 years).
Excellent attention to detail, organizational, and time-management skills.
Strong customer service and communication skills.
Proficiency in computer applications, especially MS Office.
Skills:
Ability to handle multiple cases at once and prioritize effectively.
Problem-solving skills and the ability to navigate regulatory challenges.
Knowledge of foreign languages (advantageous but not mandatory).
