Job Description

Responsible for running and managing projects and leading a team of engineers, customer relation executive, designers and Site Engineers of their division by ensuring timely deliverables to accomplish the customer’s need and satisfaction along with the Target of the company.
Duties & Responsibilities:


1. Ensure achieves the target set by the company for the division and set goals to team accordingly. Execute contracts with the customer/client. Reviewing the contractual conditions of performance - to determine precisely the work that must be accomplished perfectly and on time in order to satisfy the client.

2. Ensure the ADPL’s Project Workflow for all projects. Proper planning of every work and get them done, by proper coordination with team members, contractors and workers - which means discipline determination how and when the work will be performed. Report to HP about work status and consolidated reports of contractors / workers on weekly basis through Project Coordinator.

3. Ensure the fund inflow on time from the projects undertaken. Prepare Orientations, Running Bills and Final Bill and ensure fund inflow accordingly.

4. Prepare estimate & budget quotations, rate analysis, MRP and Orientation as per, for each project and give to HP for confirmation.

5. See the projects moves as per the orientation on a daily wise and update or RO (Re Orient) in the same weekend and establish with a sign off.

6. Make sure Site book, M Book, Site Store book, Site file are updated by site engineers and report the same to HP.

7. Maintain Daily Progress Report every day and hand over to HP regularly without fail. Make sure that site photos are uploaded daily in whatsapp group and the same to share by Project Co into the concerned client group.

8. Provide weekly reports to Project Coordinator on every Saturday before 8:15 am so that Project Coordinator can send report to clients on Monday before 09 am.

9. Obtain the supplies necessary to complete the project, find place to store it and implement a method for tracking inventory (Site stock). Keeping cost within budget, ensure procurement of materials take place without losing major time and ensuring maximum profit.

10. Time bound is set specifically to attain the key goal. Period of time is important because of the construction contract often includes penalty clauses in the event the project runs late as Time indeed is money.

11. Take part in the weekly site meeting with Client.

12. Regular site meetings with Contractors. Sourcing Sub contractors whenever required, with proper reporting agreements and eligibility to supervise these contractors. On each part payment of sub-contractor, the PI should physically check and give the same to HP through Payment Request.

13. Coordination with purchase department and contractors for the smooth running of the projects. Plan next day work at site in the previous day itself and raise Purchase Indent (before a week) if needed.

14. Estimate the quantity of material required for work well in advance and raise Purchase Indent. Maintain updated material record in site book and get it signed by HP

15. Inspect incoming material for quality and quantity and receive materials ONLY in the presence of the Site Engineer. Submit material confirmation/bills within 24 hrs from the same is received to Purchase Manager for further proceedings. In emergency case collect materials directly from the supplier after coordination with purchase dept.

16. In case of revision in drawings issued from studio, Site Engineer to ensure only final updated drawings are used in site file and collect all superseded drawings from client /sub-contractor and return back to studio.

17. Assist SA-QC team for maintain project quality and make sure site instruction form is closed within timeline and give report to HP Co / HP.

18. Should ensure Project status update with Project Coordinator on daily basis.

19. Should ensure all the additional works are approved by client and are filed by Project Coordinator before Commencement.

20. Conducting site meetings with the client once in a week and sending minutes of the meeting to Client for approval through Project Coordinator with a copy to HP. Keep all communication copy to agm@activedesigns.in./ceo@activedesigns.in All project related documents to be filed with Project Coordinator. Getting Client Satisfaction Report (CSR) and site completion photos not later than a week from settlement.

21. Coordination with Marketing/Sales, Project Coordinator, Client, Consultants, Designers, Site Engineers, Purchase department, Sub-contractors, Accounts department and PR Department for the smooth running of the projects.

22. Should Conduct Weekly Team Meetings at every Saturday at 08am for analysis of projects.

23. Plan next day work at site in the previous day itself and raise Purchase Indent (before a week) if needed and maintain Daily Progress Report every day.

24. For any special cases, precautions should be taken in writing in the agreement between the client and the other party, and if needed legal opinion should be taken from the concerned authorities.

25. If any disputes with clients happen due to schedule targets, performance or deviations from the original contract terms, it should be handled carefully, update in the contract (Project extension / Revise quotations) and ensure a long term relation with them. An unresolved dispute can slow down the project and lead to legal costs as well.

26. Prepare a project execution plan within 7 days of signing the contract that details each stages of the project starting with the Start Date to the End date with a progressive part payment flow. Each task shall be defined with what is to be done, by Whom and by When as structure. Then deliver this plan as per schedules. Capacity to run multiple projects at the same time. Guide the team and capable of finalizing and reviewing periodically the scale drawings and contract documents.

27. Sourcing Sub contractors whenever required, with proper reporting agreements and eligibility to supervise these contractors. Have a vendor finding attitude.

28. Support in preparing project designs and plans using CAD software as and when required when designer is busy with any other works.

29. Have the ability to carry out the Site Engineer responsibilities in accordance with the organizations policies and applicable laws and educating / reviewing with the project team members.

30. Responsibilities include participating in hiring and training employees; planning, assigning and directing work; appraising performance along with HR; disciplining employees; addressing complaints and resolving problems.

31. Should possess the ability to take needful steps to prevent any unsafe conditions or acts in the site and tries to understand the safety needs in the site for resolution.

32. Assist in selection of right equipment and materials for the project and ensure maximum utilization of the assets.

33. Should be aware of all company specifications and contract Agreements.

34. Should ensure all team members are following systems and procedure of the company.

35. Ensure team members are submitting weekly evaluation report in time

36. Submit self-evaluation report in time.

37. Any other duties and responsibilities assigned by the management from time to time for the proper execution of the projects.
